The Arkansas event is tentatively scheduled for April 18-19, 2009.
Obviously, I cannot plan an event myself all the way from Iraq. So, I'm relying on respectable, organized, and motivated off-road clubs to plan the event in their State. I have clubs who have stepped up to host events in various States, but none in Arkansas yet. If I do not find a club there to host an event, then there will not be one.
I want clubs that volunteer to host an event to know up front what they're getting themselves into here...it's going to be some work. There is quite a bit of coordination needing to be done, but I think it will be very rewarding for the club in the long run. Any club hosting an event will certainly have a feeling of accomplishment and will have the joy in knowing they've helped a group of people in our country who are often forgotten about.
Here are some things to consider prior to volunteering to be Event Hosts/Trail Guides:
1. Your club should have knowledge of an off-road park and/or enough trails to keep us busy for two days. Your club should also know the location of a campground located near the event site. It is okay if your club is based in a location other than where the event will take place, as long as your members do not mind the drive to get there. I want to see the best your State has to offer!
2. Your club should practice responsible wheeling and follow the guidelines set forth by Tread Lightly! These will be family friendly events. Children are welcomed and therefore proper behavior will be expected. Due to vehicles being involved (not to mention the law) there will be no alcohol allowed while on the trails.
3. Due to the many different types of off-road vehicles that will be participating, your club should not discriminate between make/model of vehicles. Yes, it is okay if you have the word "Jeep," "Toyota," "Hummer," etc, in your clubs name, but the event will be open to all types of vehicles. In other words, it will be a "run what your brung" event.
4. Due to articles and pictures of the events being published in Four Wheeler magazine, your club should approve of themselves, their vehicles, the club's name, and possibly your member's names being in that magazine as well as other publications and news media outlets (newspapers, television, websites, etc). Everyone participating in an event will be required to sign a release form for this purpose.
5. Your club will be responsible for contacting your State's VA hospitals, military posts, VFW Posts, and other similar organizations to spread the word to wounded military members so that those who would like to participate will have the opportunity to do so.
6. While not required, your club should consider hosting two charity trail runs between now and the main event. This will not only raise money for a military charity, but help to spread the word about the program and give the club an opportunity to practice run some of the trails they might like to run during the main event.
And here is a list of positions that people in your club should fill to help things run smoothly...
1. Public Relations Officer - This person would be in charge of contacting various clubs throughout your State to make them aware of this program and see if they would like to help with the coordination and/or attend the event. This person would also be in charge of contacting your local news agencies (television and newspaper) to see if they would like to cover the main event (they wouldn't have to stay the whole weekend...but perhaps be present during the opening ceremonies of each event).
2. Special Activities Officer - This person would be in charge of contacting companies who may wish to get involved by providing a way for children to have fun at the events...like having one of those bounce house things.
3. Military Officer - This person could be in charge of contacting all the military bases in the State. There are units at the bases called "Warrior Transition Units" that help wounded military men and women returning from Iraq and Afghanistan. They could also contact the VA hospitals and VFW Posts.
4. Health & Welfare Officer - This person would be in charge of contacting the local fire departments in the area where the event will be hosted. We should have a first aid station set up at each event and I have yet to meet a group of firemen who would turn down the opportunity to help out wounded veterans. I'm sure they will jump at the chance.
5. Chow Hall Officer - While breakfast and lunch will be left up to each participant, the event hosts should provide dinner for everyone. This person would be in charge of contacting local grocery stores to get food and drinks donated for the event. As the time of the main event gets closer, you will know how many people to expect to attend and can plan accordingly. This person will also be in charge of finding chefs for the dinner. The VFW would probably be willing to attend the event and cook for everyone on large grills that can be rented.
6. Lights Out Officer - This person will be in charge of finding a camping area that will hold all the participates. They should contact the campsite and make sure that they have enough spaces for the amount of people attending the event. They should try to get the campsite to "donate" the sites for the weekend of the event, or possibly get a reduced rate. The sites should be reserved prior to the event. The last thing we want is 50 people not having a place to sleep because the campsite is full.
7. Savings & Loan Officer - This person will be in charge of keeping track of the funds raised during the charity trail runs. They will distribute the funds to the other officers of the club as needed (for instance to the Public Relations Officer to print fliers, or to the Lights Out Officer to pay for the campsite fees, etc). This person will also be in charge of thinking up ways to raise funds. Nobody should have to pay for anything at the main events...not even for camping if at all possible. I've decided that 100% of the funds raised through the charity trial runs will be used by the clubs for use during the main event. If any funds are left over, then that can be donated, but only after the main event for that State is completed.
